MISSION STATEMENT

1.       Working Sensitively with Clients: The Celebrant aims to interact with clients in a sensitive and empathetic manner, understanding their individual needs, emotions, and cultural backgrounds.

2.       Creating and Delivering Unique and Loving Ceremonies: The primary goal is to craft ceremonies that are distinct and personalized for each client. These ceremonies are designed to be expressions of love and care, reflecting the unique qualities and preferences of the couple.

3.       Meeting Emotional and Cultural Needs: The celebrant acknowledges that significance of emotional and cultural aspects in a ceremony. They are committed to ensuring that the ceremony addresses and respects the emotional and cultural needs of the clients and their families to the best of her ability and information provided by the clients.

4.       Engaging and Delighting Guests: The celebrant strives to create ceremonies that not only resonate with the clients but also captivate and delight their guests. The goal is to make the ceremony an enjoyable and memorable experience for all who attend. This will be done with good intentions and to the best of the celebrant’s abilities.

1. DEFINITIONS

1.1 Celebrant – Tonia Bovell, also known as “It’s Your Day”, is the Authorised Marriage Celebrant, and is able to perform Marriages, Vow Renewals, Naming’s, and other Life Ceremonies. Tonia is known as, and referred to, as the ‘Celebrant’ throughout this document.

1.2 Client - The person, organisation, company, or other body which is hiring the services of the Celebrant.

1.3 Event date - The time and date of the event, confirmed by the Celebrant and noted on the booking invoice.

1.4 Day - A calendar day, unless specified otherwise.

2. OPERATION PROCESSES and PROCEDURES

2.1 The Celebrant will provide the Client with information and guidance to enable them to choose or compose a ceremony that will meet their needs and expectations.

2.2 The Celebrant will ensure that their own personal presentation is always of an appropriate standard.

2.3 The Celebrant will provide or suggest appropriate facilities to meet with clients.

2.4 All reference material TEMPLATES used by the Celebrant to create and conduct ceremonies shall be reviewed and updated on a regular basis or as required, with no less than twice yearly.

2.5 The celebrant will ensure they are familiar with the location of the ceremony and the time taken to get there and if necessary, complete a survey of the event location. The client may be required to assist with gaining access etc.

2.6 The Celebrant will confirm pronunciation of names and or phrases that are to be used in the ceremony to ensure correct and proper usage.

2.7 The Celebrant will not reproduce or use any images of the Clients ceremony without the Clients approval.

2.8 The Celebrant will provide a selection of ceremony package options to the Client however these may be adjusted to suit the Client needs and will be subject to quote.

2.9 The Celebrant commits to travelling to a ceremony in a manner that ensures a safe and prompt arrival. However, in the event of an accident where the Celebrant is not conscious or able to talk, contact details of a nominated person of the Clients choice will be clearly and readily available in an A4 plastic sleeve, for emergency services to be able to contact.

2.10 A booking is not confirmed until the client has paid a deposit as outlined under ‘Invoicing and Refunds’ in this document and receives confirmation of the booking from the Celebrant.

3. PRIVACY and CONFIDENTIALY

3.1 The Celebrant commits to always ensuring the clients privacy.

3.2 The Celebrant shall not discuss or disclose any personal information about the Client unless otherwise approved or instructed to do so by the Client.   

4. DOCUMENT RECORDING and STORAGE

4.1 All records, personal client details and confidential documents held by the Celebrant shall be securely stored at all times on password protected electronic devices and/or in lockable filing cabinets.

5. INVOICING and REFUNDS

Invoicing Process: Once the clients confirm a ceremony date, the celebrant will prepare an invoice and send it to the clients via email.

Deposit Requirement: to secure the date and time for the ceremony, the client must make a stipulated deposit payment within 7 days of receiving the invoice. This deposit is likely a partial payment of the total service fee.

Balance Payment: The clients are required to pay the full balance of the service fee 21 days prior to the wedding ceremony. This final payment settles the remaining amount after deducting the initial deposit.

Terms and Conditions: the clients are referred to the full terms and conditions document. Which contains additional details about the service agreement, cancellations policies and other relevant terms.

Late Fee Policy: If the celebrant is held over for the start of the ceremony due to delays caused by the clients or other factors, a late fee will be charged. The late fee is specified as $100 per hour. The exact conditions for applying this late fee will be outlined in the Terms and Conditions.

It’s essential for the clients to thoroughly review the Terms and Conditions to understand the full scope of the service agreement, including cancellation policies, additional charges and any other important details related to the celebrant’s services.

5.1 A non-refundable deposit of 50% or $300 whichever is more, is payable to secure a booking. The booking is not confirmed until the deposit is received by the Celebrant.

5.2 The balance of the booking cost is payable no later than 21 days prior to the Client’s event or at a time agreed upon by both the Celebrant and the Client.

5.3 If the balance of the booking cost is not received 21 days before the event date, or at a time agreed upon by both the Celebrant and the Client, the booking may be cancelled.

5.4 Requests for changes of the event date are subject to Celebrant availability and receipt of a new booking invoice.

5.5 Cancellations made prior to 60 days before the event date:

  • Client will receive a full refund of all monies paid within 14 business days, minus the $300 deposit.

5.6 Cancellations made between 60 and 30 days prior to the event date:

  • Client will receive a 50% refund of all monies paid within 14 days, minus the $300 deposit.

5.7 Cancellations made within 30 days of the event date:

  • Client will forfeit all monies paid.

5.8 The Celebrant reserves the right, in some circumstances to provide refunds outside the above-mentioned terms.

5.9 The Celebrant may cancel any booking at any time. If the Celebrant decides or needs to cancel a booking, all payments made will be refunded to the Client including the initial booking deposit.

5.10 The client is responsible for paying any charges imposed by the venue or required to access the venue. These charges may include, but are not limited to, parking and electricity.

5.11 The Celebrant will provide invoices and receipts in a timely manner. 

5.12 Email acknowledgment is sent to the client after the booking deposit is received. Receipts are sent after full payment is made.

5.13 If the client cancels their wedding ceremony within 90 days of the scheduled date and the celebrant has already created or prepared any required legal or ceremonial paperwork, an additional $200 fee will be retained by the celebrant. This fee is to cover the time and resources allocated to document preparation.

The fees do include all legal documents being submitted to Births, Deaths and Marriages.

The fees do not include official marriage certificate from Births, Deaths and Marriages.

The fees do include any professional advice given to the client but not by way of counselling.
The fees do include unlimited phone calls / emails within reason if required.

The fees do include one or two meetings with the client, as specified in the wedding package chosen.

If couple make changes to the script within 7 days prior to wedding ceremony, this will incur a $100 charge.

A rehearsal with or without the bridal party prior to the wedding week. It will be the responsibility of the couple to relay what has been discussed at the rehearsal for a smooth as possible ceremony (if parties are unable to attend).

6. STATIONERY ORDERING

6.1 The Celebrant will ensure that all stationary and legal forms required to perform Celebrant duties will be always kept current and up to date and in surplus supply.

6.2 To ensure accuracy and validity, all legal forms will be ordered through the Australian Government recommended and approved supplier, Can Print Communications. 

7. EQUIPMENT MAINTENANCE and SERVICING

7.1 The Celebrant commits to ensuring that all equipment owned and required to perform Celebrant duties, such as PA and Microphones will always be in good and working order. Equipment will be stored in an appropriate secure area and maintained on a regular basis. All equipment will be regularly checked and tested to ensure they are operational.

7.2 In order to prevent damage to equipment, the celebrant reserves the right to deny persons the use of the equipment.

7.3 If circumstances arise where a threat or implied threat of harm, damage or violence to the Celebrant or equipment. The Celebrant reserves the right to cease providing services. If the client is able to resolve the threatening situation within 30 minutes, the Celebrant will resume services. If the situation is unable to be resolved. The Celebrant will not resume providing the service, and the client will receive no refund of the booking cost.

7.4 Any Damage to the Celebrants equipment during the client’s event caused by the client, client’s guests or any other person in attendance at the event, whether invited or not, will result in the cost to repair/replace the equipment to be payable by the client.

RITUAL RESOURCES

Clients Expenses: The cost of the chosen wedding rituals will be borne by the clients. This meant that any materials, items, or resources required for the rituals will be the responsibility of the clients to purchase or obtain.

Source of Ritual Resources: The clients have the option to source the required resources for their chosen rituals either online or from their own personal items. They can purchase these items or find them from their existing possessions.

Ordering Online: if the clients decide to order the ritual resources online. The celebrant advises them to do so well in advance. This is to avoid any disappointment caused by deliver delays, ensuring that the items are available and ready for the wedding day.

Client’s Obligations: The responsibility of obtaining the ritual resources in time for the wedding ceremony lies with the clients. It is essential for them to plan ahead and make arrangement to have the items ready for the ceremony.

The Celebrant: The additional information provided indicates that the celebrant can provide certain items such as candles or flowers, for the wedding rituals at a fee. This means that if the clients prefer to obtain these specific items directly from the celebrant, they can do so by paying the applicable agreed upon fee.

The celebrant is willing to offer guidance and inspiration to the clients if they need assistance with ideas for their chosen rituals and incorporating the clients preferred rituals. The Celebrant is happy to support the clients in exploring creative and meaningful ways to enhance their wedding ceremony.

The Celebrant offers a range of services related to wedding rituals, including the option to supply specific items for a fee and providing valuable input and advice to help the client in designing and customizing their ideal wedding ceremony. Adding value to the services available to the client and a commitment to creating a personalized and memorable experience for the client.

8. OPTIONAL EXTRAS

8.1 MASTER OF CEREMONIES (MC) SERVICE – The Celebrant will conduct MC services in according with the Clients wishes.

8.2 Travel and accommodation fees may apply.

8.3 A meal is required to be supplied to Celebrant/MC

 

9. TRAVEL and ACCOMMODATION

9.1 Travel and accommodation fees may apply if the ceremony location is more than 40kms outside the Perth Metro area, @ 73 cents per kilometre. The 40 Kms radius apply from a starting point of the Perth CBD.

9.2 Travel and accommodation fees may apply if the ceremony time and location require and overnight stay.

9.3 Travel and accommodation fees may apply if the ceremony time and location inhibit the ability of the celebrant to perform another ceremony the following day.

9.4 My wedding packages include an 80 km round trip. If travel to and from your wedding venue falls within this distance, no extra travel fee is applicable for either ceremony or rehearsal. Travel over 80 km will be charged at 73c/km (ATO recommended fee for business travel, thereafter. There will be an additional charge if travel is outside of an 80 km radius to the ceremony area, which will be calculated and added before your final payment and accommodation if required will be part of final costings.

Accommodation

If the services of the celebrant require an overnight stay (e.g., destination weddings or events that span multiple days) accommodation is necessary.

Charging for Accommodation: the cost of the accommodation will be borne by the clients (the ones hiring the celebrant’s services).

Client-provided Accommodation Options: the clients will be responsible for providing a list of available accommodation options celebrant. This means that the clients should offer a selection of places where the celebrant can stay during the event.

Payment for Accommodation:

Advance Payment: The client can choose to pay for the accommodation charges in advance. This means they’ll cover the cost of the accommodation before the event takes place.

Add to Final Invoice: Alternatively, the accommodation fee can be added to the final invoice, which means the clients will settle both the celebrant’s service fee and the accommodation expenses in one payment prior to the ceremony. See Terms and Conditions of payment prior to the ceremony.

To avoid any confusion or misunderstandings, it’s essential that there is clear communication in relation to the payment of required accommodation. This way, everyone involved is aware of the arrangement and can plan accordingly.

 

10. INDEMNIFICATIONS

10.1 The client agrees that in all circumstances, the Celebrants liability is limited to an amount equal to the booking cost and not be liable for indirect or consequential damages.

10.2 The Celebrant will not be held responsible for any circumstances outside their control. This includes, but is not limited to, fire, riot, civil commotion, accidents, acts of nature and equipment failure. If such circumstances arise, all reasonable efforts will be made by the Celebrant to provide the agreed service or find a suitable replacement to complete the duties of the Celebrant.

10.3 The Client needs to be aware, on the turn over of each reoccurring financial year, being the 1st July, a minimum of a 10% increase in prices.
